What is fleet management software for a car rental company?
It's the system that tracks everything about your vehicles outside of the booking itself: maintenance schedules and service history, document compliance (insurance, registration), live location via GPS, and per-vehicle profitability. CarCEO PRO combines fleet management with the booking calendar, contracts and invoicing so a vehicle's rental history and its maintenance history live in the same record instead of two disconnected tools.
Does CarCEO PRO schedule vehicle maintenance automatically?
You set a maintenance schedule per vehicle by mileage interval, hours interval, or calendar days (or a mix). CarCEO PRO tracks each schedule's status as OK, Due Soon, Overdue or Critical, and every completed service gets logged with cost, so you get a full service history and total maintenance spend per vehicle without a spreadsheet.
Can I track my rental fleet with GPS in real time?
Yes. The Fleet GPS command center shows every connected vehicle on a live map with a Moving / Parked / Idle 4+ days / Offline status strip, geofences, per-trip route history with a scrubber, and CSV export of trip data. CarCEO PRO connects to shared-link GPS providers rather than locking you into one hardware brand — see Settings for supported provider types.
Does the GPS odometer reading replace the vehicle's real odometer?
No, and we say this plainly because it matters for maintenance accuracy: a GPS tracker's distance figure depends on the device and provider, and on many trackers it's a distance-since-installation counter rather than a synced copy of the dashboard odometer. For mileage-based maintenance intervals, log the vehicle's real odometer reading at each service — that's what CarCEO PRO's maintenance module uses to calculate the next due mileage.
How does document compliance tracking work?
Each vehicle stores its registration and insurance documents with an expiry date. You can scan the physical card or title with the built-in document scanner and it auto-fills the expiry date and provider from the photo. CarCEO PRO flags each document as expiring soon or expired and reminds you a configurable number of days before it lapses (30 days by default).
Can I see how profitable each vehicle in my fleet is?
Yes, on the Ultimate and Enterprise plans. Per-vehicle profitability reporting nets rental revenue against maintenance costs, damage charges and other costs logged against that vehicle, so you can see which cars in the fleet are earning their keep and which ones are worth retiring or selling.
Does this work for a Turo or peer-to-peer host fleet, not just a traditional rental agency?
Yes. Vehicle records, maintenance schedules, document compliance and GPS tracking work the same whether a car is on a traditional walk-in rental, a Turo listing or a direct booking from your own site. Turo hosts running multiple cars can also use the dedicated Turo host command center for automatic fee decoding and two-way iCal calendar sync so a car never gets double-booked across channels.
Is fleet management included in the free plan?
The Starter plan (free forever, up to 2 vehicles) includes vehicle records, the fleet calendar and document expiry reminders. Maintenance scheduling, live GPS tracking, geofences, and per-vehicle profitability reporting are Ultimate features ($129/month, unlimited vehicles) — they unlock automatically when you upgrade, no data migration required.
What GPS hardware or providers does CarCEO PRO support?
CarCEO PRO connects through shared-link GPS integrations rather than requiring one proprietary tracker, so you're not locked into a single hardware vendor to get live location, geofences and trip history in the dashboard. Check Settings → GPS Tracking in your account for the current list of supported connection types.
How is this different from generic fleet management software like Fleetio?
Tools like Fleetio are built for corporate and service fleets that don't rent vehicles out — they're strong on maintenance and asset tracking but have no rental calendar, no contracts, and no renter-facing workflow. CarCEO PRO is built specifically for rental operators: the same vehicle record carries its maintenance schedule, its compliance documents, its GPS history and its rental bookings, contracts and revenue. Can multiple branches or locations share one fleet management system?
Yes, on Ultimate and Enterprise. Multi-branch fleets share one account with role-based permissions, so a vehicle can be tracked, maintained and reported on centrally even if it's based at a different location than head office.
